SLOVAK TRANSLATORS SWITZERLAND

When Swiss companies work with partners in Slovakia, reliable communication often begins with the documents. Register extracts, trade authorisations and contracts must establish who is acting and what has been agreed. Our translation agency for Slovak in Switzerland helps present this information with professional precision and clarity. Dialektikus+ translates commercial documentation between German and Slovak with its intended use firmly in view, enabling purchasing teams, project managers and other participants to work from a consistent understanding of the material before them.

Identifying Company Particulars and Trade Authorisations Accurately

When reviewing a Slovak business partner’s documentation, you may encounter several different forms of evidence. The osvedčenie o živnostenskom oprávnení certifies trade authorisation; a výpis zo živnostenského registra is an extract from the Trade Register. These differ from the výpis z obchodného registra, the Commercial Register extract. The Slovak administrative guidance lists these as separate services. When commissioning a translation, please specify the exact document and attach it wherever possible, rather than referring simply to general proof of the business’s existence.

In a Commercial Register extract, the recipient will often be interested in the company name, registered office and persons authorised to represent it. For a limited liability company, the designation konateľ may appear. The accompanying provision on representation is at least as important as the title itself: the text must establish whether, and in what manner, the individual may act. A condensed rendering that conflates joint and individual representation would obscure precisely the information the reader needs.

Identification numbers also require unambiguous labels. The Slovak Financial Administration distinguishes, among others, IČO, the organisation identification number; DIČ, the tax identification number; and IČ DPH, the VAT identification number. We identify the function of each abbreviation, reproduce the characters unchanged and check their consistency across the register extract, contract and invoice. Apparent discrepancies can then be addressed specifically, before an incorrect number is carried forward into further documents and complicates subsequent correspondence.

Consider the date and status of the document as well. An older extract may help explain a previous transaction, whereas a new instruction may require current particulars. The recipient should determine which version is needed. For translation, an explicit filename incorporating the issue date is helpful. Where several versions exist, this allows us to work from the commissioned version and relate its information reliably to the other documents forming part of the project.

Rendering Contracts and Specifications with Precision

A well-drafted contract makes clear what performance is required and the conditions governing it. When translating from Slovak, the scope of work, deadlines, payment terms and references to annexes therefore deserve particular scrutiny. We consider the relationship between the principal agreement and its supporting documents. If a technical specification defines the contractual subject matter more closely, it should also be available for translation, allowing the same terminology to refer consistently to the same underlying concept.

In project work, even variations in the use of delivery, installation, testing and acceptance can prompt queries. The distinctions between these stages must follow the source. We work from the performance actually described and avoid importing stock formulations that might imply additional obligations. Where a passage is ambiguous, a focused enquiry to the client can resolve the wording before a misleading expression finds its way into several documents and becomes more difficult to disentangle.

For technical material, existing drawings, product descriptions and approved terminology lists are particularly valuable. They establish which component or operation is meant. Units of measurement, item numbers and revision details receive corresponding care; a translation must not inadvertently change the technical substance. If your company already uses established German or Slovak terms, please supply them. Consistent nomenclature makes it easier to compare the purchase order, instructions and goods actually delivered when the project reaches that stage.

Commercial correspondence likewise calls for a judicious tone. A request for missing evidence should be firm and courteous without sounding unintentionally brusque. A complaint must preserve both the facts and the response sought. We adapt the register and phrasing to the purpose while retaining the substance and definiteness of the message. In a continuing business relationship, language that makes expectations explicit and gives the other party a clear basis for replying is especially worthwhile.

Handling Electronic Documents and Official Versions Appropriately

Slovak commercial documents may be issued on paper or electronically. For Commercial Register extracts, the official public administration portal also describes an electronically signed version. Retain the original file or associated electronic container and, where possible, include a readable representation with your translation enquiry. A screenshot may show part of the content without capturing every component relevant to the document’s subsequent use. Supplying the complete material enables the intended scope to be established more reliably.

The zaručená konverzia, a statutory procedure for document conversion, deserves particular attention. According to the Slovak public administration portal, an authorised person may convert documents between paper and electronic form or between electronic formats. The resulting document is inseparably linked to an osvedčovacia doložka, a certification endorsement, and acquires the legal effects of the original under the relevant Slovak provisions. That endorsement and all associated pages should therefore be supplied in full for translation.

The form accepted by a Swiss recipient must be agreed with that recipient. The same applies to any requirement for an apostille. In its guidance on documents intended for use abroad, the Slovak Ministry of Foreign Affairs identifies different competent authorities according to the type of instrument. Your planning should therefore follow the specific requirement. Where endorsements are already available, we include them when determining the translation’s scope, helping avoid the late submission of an essential component.

For an enquiry to Dialektikus+, send the intended version and specify the language direction and commercial purpose. Please also state your deadline and any requirements communicated by the recipient. We can then prepare a quotation whose scope you can review before commissioning. A carefully coordinated Slovak–German or German–Slovak translation gives your collaboration intelligible documentation and makes it easier for everyone involved to scrutinise the particulars that matter to the transaction in hand.
